Administrative Assistant & First Aid Officer – Christway College Wyndham

 

Reports to: Office Manger

 

Christway College is seeking applications for an Administrative Assistant & First Aid Officer to commence October 2026, exact start date negotiable.

 

This is a key dual-role position providing professional administrative and reception support to the College while also overseeing the day-to-day provision of first aid and student health support.

 

Hours of Work

This is an ongoing, full-time position, however the time fraction is negotiable.

The usual hours of work will be 8:00 am to 4:00 pm, Monday to Friday, however, work hours are negotiable and may vary from time to time to meet College requirements. A degree of flexibility is therefore required.

The position will generally operate during school terms and for part of the school holidays. Additional attendance may be required during professional development weeks and other periods, with arrangements negotiated with the Office Manager/Campus Principal.

 

About the Role

The successful applicant will undertake a broad range of reception, administrative and first aid responsibilities and will play an important role in supporting the health of students and the effective operation of the College.

 

Administrative and Reception Responsibilities

The Administrative Assistant component of the role will include:

·        Managing a busy reception area in a professional, welcoming and efficient manner.

·        Receiving and directing visitors, parents, students and other members of the College community.

·        Answering and directing telephone enquiries using a courteous and professional manner.

·        Providing general administrative support to college staff.

·        Maintaining accurate records, databases and administrative systems.

·        Preparing correspondence, documents, reports and other administrative materials.

·        Using Microsoft Word, Excel and Outlook confidently and competently.

·        Assisting with student attendance, enrolment and other College administrative processes as required.

·        Coordinating administrative tasks and responding efficiently to changing priorities.

·        Maintaining a high level of confidentiality when dealing with student, family and staff information.

·        Assisting with the organisation and preparation of College activities and events as required.

 

First Aid and Student Health Responsibilities

The First Aid Officer component of the role will include:

·        Providing first aid and appropriate initial care to students and staff in accordance with training, College procedures and relevant requirements.

·        Assessing and responding appropriately to student illness, injury and health-related incidents.

·        Maintaining accurate and confidential first aid and student health records.

·        Administering medications in accordance with College policies, procedures, authorisations and relevant training.

·        Managing student medical information, including health plans, asthma, allergy and anaphylaxis information and other relevant documentation.

·        Creation the implementation of individual student health management plans, in collaboration with parents/carers where required.

·        Maintaining appropriate first aid supplies and equipment and monitoring stock levels.

·        Ensuring the first aid area is clean, organised, appropriately equipped and maintained.

·        Communicating appropriately with parents/carers regarding student illness, injury and first aid treatment, in accordance with College procedures.

·        Liaising with College staff and relevant health professionals where required.

·        Maintaining appropriate confidentiality and discretion regarding student health and personal information.

·        Supporting the College in maintaining appropriate first aid and emergency response procedures.

·        Participating in relevant first aid, anaphylaxis, asthma, medication and other health-related training as required.

·        Organising and tracking all first aid training for relevant staff.

The successful applicant will demonstrate sound judgement and the ability to remain calm, professional and compassionate when responding to student health matters and unexpected situations.

 

Skills, Experience and Qualifications

The successful applicant will demonstrate:

·        A current and recognised First Aid qualification, including current CPR, with relevant additional health-management training desirable.

·        Experience in an administrative, reception, medical, first aid or school environment will be highly regarded.

·        Excellent interpersonal and communication skills, including the ability to communicate professionally with children, parents, staff and visitors.

·        A professional, friendly and approachable disposition.

·        Strong organisational, time-management and preparation skills.

·        High levels of accuracy and attention to detail.

·        The ability to manage competing priorities and work effectively in a busy environment.

·        Initiative, self-motivation and the ability to work independently with minimal supervision.

·        The ability to work collaboratively and develop strong working relationships with students, staff, parents and other stakeholders.

·        Confidence and competence in Microsoft Word, Excel and Outlook, together with the ability to learn and maintain other databases and systems.

·        The ability to maintain high levels of confidentiality and exercise discretion, particularly in relation to student and family information.

·        Empathy, patience and cultural awareness.

·        Reliability, punctuality and a strong commitment to professional standards.

·        Flexibility and the ability to respond positively to changing College requirements.

·        A genuine desire to support the wellbeing, safety and development of children and young people.

·        A willingness and capacity to learn new systems, procedures and skills.

Previous experience working in a school or educational environment, particularly in a role involving both administration and first aid, will be highly regarded.
