College Administration Assistant

Job Description

We are seeking a highly organised and confident College Administration Assistant to join our team. This key role provides high level administrative support to ensure the smooth and professional operation of the College and delivers excellent customer service to staff, students, parents and visitors.

This is a part-time (20 hours per week) role working Monday to Friday, fixed term for six months from commencement. 

ELTHAM College is an independent co-educational school located in the Nillumbik Shire, on 98 acres, in the northeast of Melbourne. ELTHAM College grows the heart and mind of each child. The College Administration Assistant will be responsible for providing efficient administrative support. The role requires a highly organised individual with excellent communication skills and the ability to manage multiple tasks in a dynamic environment. 

Having school experience and knowledge of school systems such as Synergetic and School Box will be an advantage. 

About the Role

As the College Administration Assistant, you will:

  • Provide general administrative assistance to the College.
  • Prepare correspondence, documents and reports as required.
  • Assist with coordinating College events and internal activities.
  • Support with maintaining student attendance, entering the system, and following up where required.
  • Maintain compliance with school policies, child safety requirements, and privacy legislation.
  • Assist with data entry and record management.
  • Contribute to the continuous improvement of administrative systems and processes.
  • Assist with the coordination of projects and operational activities.

About You

You are a confident and proactive professional with a positive attitude and:

  • Previous experience in an administrative role, preferably within a school or educational setting
  • Experience with managing and coordinating events
  • Demonstrated knowledge of child safe practices
  • Excellent organisational and time management skills
  • Strong interpersonal and communication skills, with the ability to engage positively with students, staff, and parents
  • Attention to detail and the ability to manage multiple priorities
  • Proficient in Microsoft Office and database systems (experience with school management systems desirable)
  • A commitment to confidentiality, integrity, and child safety
