Executive Assistant to the Head of Senior School

Job Description

ABOUT US

Camberwell Grammar School is an independent Anglican day school for boys from Pre-Preparatory to Year 12. We aim to give every student in our care the very best education in order to prepare them for life beyond school. We are a learning community, which encourages staff, students, past students and parents to involve themselves fully in all aspects of school life and to identify themselves with its values: Learning, Respect, Integrity, Courage and Optimism. We are proud of the warm spirit and sense of community that characterises our school family.

Our school campus is located in the leafy inner east suburb of Canterbury, on land originally inhabited by the Wurundjeri People of the Kulin Nation, and blends period architecture with exciting contemporary design and state-of-the-art facilities.

ABOUT THE ROLE

We are seeking a warm, proactive and highly organised Executive Assistant to the Head of Senior School, playing a pivotal role in the smooth and effective operation of the Senior School Office.

This is an exciting opportunity to join a welcoming and professional school community in a newly created role, following the separation of the Deputy Principal and Head of Senior School portfolios in 2027. You will be working alongside our newly appointed Head of Senior School, offering a unique opportunity to build a trusted working relationship from the outset and help establish the rhythms and practices of the office. This will suit someone who enjoys working closely with a senior leader, takes initiative and is energised by the opportunity to help shape how a new working partnership develops. You will provide high level executive and administrative support in a busy, engaging school environment.

As the first point of contact for the Senior School office, you will create a warm and welcoming experience for students, families and staff. You will manage the Head of Senior School’s calendar and inbox, coordinate meetings and correspondence, manage communications and workflow, and anticipate priorities to help each day run smoothly. With sound judgement, initiative and discretion, you will manage competing demands, protect confidential information and ensure that important matters receive timely attention.

You will also coordinate Senior School assemblies, key events and celebrations, including Valedictory and the Year 12 Formal, while working collaboratively with colleagues across the school to support a positive and connected community.

This is a wonderful opportunity for someone who enjoys working with young people, takes pride in providing exceptional service and thrives on being the organised, trusted person behind the scenes who helps a senior leader and the wider Senior School community do their best work. You will play a meaningful and valuable role as part of the broader Senior School team, contributing to a positive, connected and supportive school community.

This is a full time, permanent position, commencing in January 2027.

ABOUT YOU

You are a warm, approachable and professional individual who genuinely enjoys working with young people and building positive relationships with students, families and colleagues. You bring a calm, patient and caring manner to your interactions, together with sound judgement and the confidence to navigate a busy school environment.

You are highly organised, proactive and adaptable, with the ability to anticipate needs, manage competing priorities and exercise initiative. You enjoy working closely with a senior leader, developing an understanding of their working style and taking ownership of the practical details that enable them to focus on their priorities. You are confident managing calendars, filtering and prioritising communications, and making sound decisions about what needs attention, what can be handled independently and what requires escalation.

You have strong written communication skills and an excellent eye for detail. You are digitally capable, particularly in Microsoft Outlook, Word and Excel, and enjoy finding practical ways to improve systems, workflow and organisation.

Above all, you are someone who values relationships, takes pride in their work and understands the importance of discretion, reliability and genuine care in a school community. You will bring a collaborative spirit, a willingness to learn and a commitment to making a positive difference to the everyday experience of students, families and staff.

Knowledge & skills

  • Demonstrated experience providing administrative or executive support in a busy, service-oriented environment, preferably within a school.
  • Exceptional organisational and time-management skills, with the ability to anticipate needs, prioritise effectively and manage competing demands.
  • Excellent interpersonal and communication skills, with a warm, professional and welcoming approach to students, families and colleagues.
  • Strong written communication skills and excellent attention to detail.
  • Proficiency in Microsoft Outlook, Word and Excel, including calendar and inbox management, document preparation and data organisation.
  • Sound judgement, initiative and the ability to work independently while building a close, collaborative relationship with the Head of Senior School.
  • A high level of discretion, tact and confidentiality when managing sensitive information and communications.
  • A flexible, solutions-focused approach, with a commitment to exceptional service and the ability to remain calm and positive in a dynamic environment.

Qualifications

  • Working with Children Check.
  • National Crime Check.

If you are an organised, people-focused professional who enjoys being part of a vibrant school community and would value the opportunity to build a trusted working relationship with our new Head of Senior School, we would love to hear from you.
