Casual Deputy Chief Exam Supervisor

Job Description

The Role: 

Assist the Chief Examination Supervisors in coordinating and administering internal and external examinations to ensure they run smoothly and in accordance with VCAA and IB requirements.

The Average Day:
  • Supporting the Chief Examination Supervisor with the coordination and scheduling of examination supervisors during exam periods.
  • Preparing examination venues, materials and supervision resources in line with VCAA and IB requirements.
  • Assisting with the smooth delivery of examinations, including supervising sessions and supporting students where required.
  • Coordinating the collection, checking and secure handling of completed examination papers and materials.
  • Monitoring attendance, recording student absences or queries, and escalating issues to the Chief Supervisor as needed.
  • Providing general operational support during examinations, including venue set-up, equipment allocation and runner duties.
The Person: 
To be successful in this position, you will have: 
  • High level of organisation and administrative skills.
  • Significant project management experience.
  • Excellent ICT skills.
  • Ability to manage people and work with minimal supervision.
  • Ability to take responsibility and to make quick, well-judged decisions, often under pressure.
  • Ability to work in a supportive, approachable and calm manner.
  • Ability to understand and implement instructions.
  • Excellent interpersonal and communication skills with the ability to interact effectively and sensitively with school staff and students.
  • Accuracy and attention to detail.
  • Must maintain confidentiality.

The VCAA requirements to be a Deputy Chief Exam Supervisor, state that you are not:

  • Related to, or associated with, any student required to sit the GAT or any student undertaking a VCE Unit 3 or 4 study in 2026.
  • Teaching or tutoring any student required to sit the GAT or any student undertaking a VCE Unit 3 or 4 study in 2026.
  • Related to or associated with any person engaged in teaching, tutoring or coaching any students required to sit the GAT, any students undertaking a VCE Unit 3 or 4 study in 2026, or any school personnel engaged in organising or checking VCE external assessment materials on behalf of a school in 2026.
  • Employed at the school in any other capacity, including as a teacher, casual relief teacher (CRT) or member of the administration staff.

Our key 2026 dates for examinations requiring availability are as follows:

Semester 1 Internal exams: Friday 5 - Thursday 18 June 

GAT: Tuesday 16 June 

Trial Examinations: Wednesday 23 September – Friday 2 October 

Semester 2 External exams:  Monday 26 October – Wednesday 18 November 

Semester 2 Internal exams: Tuesday 17 November – Friday 27 November 

A valid Employee Working with Children Check is a requirement of employment for this position.
